2018 Victorian All Schools Cross Country Championships – Bundoora


Event Information

The 2018 Victorian All Schools Cross Country Championships is the selection trial to represent Victoria at the 2018 Australian Cross Country Championships. This event provides students the opportunity to take on the best Victoria has to offer and claim the honour of being Victoria’s best cross country runners.

Competition Rules

Please ensure you check that the entry for yourself, or for your school, is correct. Changes regarding athlete age group or school can be made up until Monday the 11th of June. No changes after this date will be accepted. If you require any changes please contact the AV Office via 8646 4500 or xcr@athsvic.org.au prior to Monday the 11th of June.

Competition Uniform:

Athletes competing in the All Schools Competition must wear their school athletic uniform. If your school does not have a uniform a white t-shirt/singlet/crop top and plain black/blue shorts/pants should be worn.

Timing Bibs:

Athletes will be issued a set of bibs, with timing chips attached to one bib, to wear on the event day. These can be picked up at the administration area prior to the race start.

The bib with the timing chips MUST be worn on the student’s front, with their other allocated bib on their back. If the timing bib is worn on the back the student may not receive a time. Any Athletics Victoria members who already have AV bibs DO NOT need to wear these bibs, a temporary one for this event will be assigned to you.

Bibs will be colour coded for different age groups and must be worn front and back during the race.

NO BIBS = NO TIME AND NO POINTS

 A reminder that the transfer of bib numbers to unregistered athletes is a serious breach of competition rules, with significant penalties resulting for all athletes and teams found to be involved. Such action jeopardises Athletics Victoria’s personal accident insurance policy, and the cover extended to all registered athletes.

 Medals:

Medals will be presented to the top 3 athletes in each age group.

Multi Class athletes will compete against their gender and age group. Medals will be awarded when three (3) or more competitors are entered into an age group, including multi class athletes.

Please note: If three (3) or more multi class athletes are entered into one age group, medals will not be awarded based on classification.

Team medals will be presented to the top three teams in each age group. This will be done shortly after the event, once results are finalised. A team consists of four members in a school, the sum of the finish place positions gives the points score for each age group. The team with the lowest points score will be considered the winner.

 Course map:

Racing will be contested over three, four, six and eight kilometre circuits.

Race results:

In order to facilitate the prompt publication of the finalised results, team scores and ladders, all results queries must be submitted to Athletics Victoria’s Competition department via email (xcr@athsvic.org.au) within 72 hours of the first set of published results. All queries submitted after this time will not be included in the final event results.

Car parking:

Public car parking will be available within Bundoora Park. Please observe signage and any relevant parking restrictions.

School tents:

Schools are encouraged to bring tents to Bundoora. The area for club tents will be marked out please look for these areas on the day of competition.

Toilet facilities:

Toilet facilities are available in Bundoora Park, nearby the start/finish area.

Looking after Bundoora:

We are very grateful to Parks Victoria for the opportunity to compete at Bundoora. Schools are asked to remind their members of the following:

Cruden Farm will host the 12km heritage round. The grounds of Cruden Farm offer athletes a tough and testing course with a mixture of different terrains to accompany the beautiful grounds surrounding the farm. Cruden Farm is a historic and inspirational venue and will be a great addition to the XCR calendar. The 2018 event is a great opportunity for Clubs to showcase their heritage and history and we encourage Clubs to do so again this year.

Location: Cruden Farm, Langwarrin VIC 3190 (Melway Ref: 103 G6) Located off Cranhaven Rd (Google Maps)

Car parking and road closures:  Plenty of Car Parking is available within the park precinct simply enter via Cranhaven Rd please look for signage.  No cars are to be driven onto the course; all cars must park in the allocated car parking area. Please don’t erect club tents in the Car Park as there is plenty of room for these in the finish area.

NO DOGS ALLOWED at Cruden Farm, any athletes or spectators who bring a dog to the event will be asked to leave by farm management.

Food Vendor: Mocha Monkey will be on site selling coffee, tea, cakes and snacks.

Club tents: Clubs are encouraged to bring club tents to Cruden Farm. The area for club tents is adjacent to the finish line, please look for signage.

First Aid: St Johns Ambulance will be on site throughout the day. They will be situated at the start/finish line and also out on the course. If anyone needs first aid please ask an official/club helper to radio through and first aid will be out to help.

Entry Information: Athletes must register via the Athletics Victoria website.

For an athlete to be eligible to score team points they must be registered with Athletics Victoria and approved by their club with one of the following packages purchased no later than 11:59am Wednesday 23 May:

Please remember to approve any memberships before the 11:59am Wednesday 23 May cut off time, otherwise athletes will compete via invitation.

Athletics Victoria will not accept any late entries and emails received after the closing date.

Competition Rules

Events: All events will start at the time listed above, please arrive early as the start will not be held for athletes who are running late.

In the Open Men & Women’s races the Premier Division team athletes (6 men & 5 women) from the 10 clubs in each gender will be eligible for a priority start in their respective races. Athletes are asked to make their way to the front of the pack before the race. Please speak to the officials on the day if athletes are unsure about this process.

If an athlete fails to make their event start time, please go to the AV Administration tent to seek advice on joining another race as an invitational athlete for no points. The competition director is the only person who can approve an athlete changing races on the day of the event.

Event warm-up is not to be conducted in front of the start line. Athletes are not allowed to front filter into this area, they MUST approach the start from behind the line. Any athletes caught front filtering may be asked to move to the back of the pack by officials.

Athletes are not to warm up on any part of the course. There is a trail at the Frankston-Cranbourne Rd end of the farm for athletes to warm up.

Course Configuration: Six separate races will be conducted on Saturday. The respective start times are:

Race results: In order to facilitate the prompt publication of the finalised results, team scores and ladders, all results queries must be submitted to Athletics Victoria’s via email (xcr@athsvic.org.au) within 72 hours of the first set of published results. All queries submitted after this time will not be included in the final event results.

Timing Bibs: Athletes who have purchased an XCR’18 Package, Max Package or individual event entry, will have their 2018/19 AV bib numbers available for collection at Cruden Farm.

The timing tag will be attached to one of the bibs (this is to be worn on the front). Athletes do not need to wear their timing chip from previous seasons for individual races anymore.This is your bib number for the entire XCR’18 season, please do not throw out your number with the timing tag attached to it. If athletes lose or damage their bib numbers there will be a charge associated with reissuing new numbers. All athletes MUST wear their current AV bibs, front and back (timing bib on the front and cloth number on the back), at all individual rounds of XCR’18. If an athlete fails to wear both bibs they may be disqualified. If any athletes forget their bibs please go to the administration area to purchase a replacement set no later than 30 minutes prior to the start of the race. Team managers will need to pick up any new memberships from the administration tent on the day of the event.

Please Note: There are two sets of timing mats located at the finish line, the first set of mats athletes will cross are a used for a back up for the timing team, this is not the finish line. The Finish line is located at the second set of timing mats 15-20m further on where the AV arch or bow flags will be set up. Athletes final finish time will be taken from the second set of mats.

A school team based relay event located at one of the most popular locations for elite sports clubs to complete their time trials, Princes Park in Carlton. This competition offers students an exciting opportunity to compete with classmates in the hustle of relay running and change overs. The event generates a great vibe and inclusive atmosphere, with a wide mix of schools from all over Victoria involved. There is plenty of room for schools to set up their tents and we would love to see everyone embrace the new location for 2018.

Car Parking: Car parking is available in the allocated parking area only. These are located along Royal Pde, Bowen Cres and surrounding streets.

Please Note: Some areas may be permit parking or ticketed parking. Athletics Victoria does not take any responsibility for any infringements that may be issued.

There is strictly no parking in the parkland area. Athletics Victoria is not responsible for any parking tickets that may be issued by the City of Melbourne.

Competition Rules

Age Group:

Date of birth is taken from 31 December, 2018. Please check athletes are competing in the correct age group for their event. If your team needs to be changed due to the age group entered being incorrect please let AV know as soon as possible.

Course:
Fluoro orange and blue flags will be used to mark the course – the orange flags will be to the left and the blue flags to the right. Safety Tape and stakes will continue to be used at major corners and the start/finish zone. There must only be 2 athletes from a team in each age group on the course at the one time (example runner 1 who is running and runner 2 who is waiting in the changeover area). This is for safety reasons for all athletes running through the changeover area.

Relay Numbers: Colour coded laminated numbers will be used to identify competitors in each age group: 

U14 Boys & Girls U16 Boys & Girls U18 Boys & Girls U20 Boys & Girls
Pink Green Orange White

Coded numbers identifying age group will be used, i.e. ‘16’ for U16, ‘20’ for U20 and then the team number will be the ‘1’, ‘2’ – ‘40’ next to the age group number for example 14.1 or 14.40.

 All relay identification numbers must be worn on the FRONT and BACK of each competitor’s uniform. Each schools team will have their own bib number with athletes 1 & 3 wearing the same numbers and athletes 2 & 4 wearing the other numbers during their leg of the relay.

All numbers must be returned to AV at the end of competition. Please do so by placing the numbers in the tubs located at the AV Admin area.

Running Tags: The last runner of each team will wear a tag around their wrist which will have their team, age division and bib number on it. Once the final runner has completed their leg of the relay an official/club helper will take the tag off the runner to help keep a track of the finish order.

Please make sure the final athlete is wearing this tag and it is handed in at the end of the race.

 Weather Policy: Athletics Victoria has a wet/warm weather policy in place for the upcoming XCR’18 season. Please note we will let Team Managers know any information regarding this before the day or make announcements on the morning of the event. Please listen out for these throughout the day if any extreme weather announcements.

Team Managers

School Team Manager Briefing:

There will be a school team manager briefing held at 9.30am at the starting line area:

  • One representative from each school will need to attend
  • This is a time to ask any questions regarding the day to the competition director

Race Packs:

Race packs can be collected from the AV Admin area prior to the commencement of the first race

  • Packs will include relay numbers, timing sheets and running tags for the final runner of each team

Recording Sheets:

  • We need the assistance of all schools to fill in the recording sheets in a neat and accurate manner
  • We require the start, finish and net time of each athlete

THERE IS NO NEED TO RECORD LAP SPLITS ON THE RECORDING SHEETS
If athletes wish to record their lap times they, or their coaches will need to organise it themselves. AV really needs the assistance of schools in delivering fast and accurate results. Please ensure the sheets are filled in clearly and neatly to minimise data entry errors.

If sheets are not handed into the AV Admin area your team will not be entered into the results.

If the weather in unfavourable on the day please see the administration area and we can provide you with large plastic pockets to use to keep recording sheets are dry as possible.

St Anne’s Winery in Myrniong will be a new addition to XCR’18 and is the first individual event of the season. Situated an hour west of the CBD, with undulating hills and the chance to enjoy the local produce, St Anne’s Winery will offer value to both participant and spectator.

XCR’18 Round 1 – Jells Park Relay

XCR’18 racing once again kicks off in the beautiful surrounds of Jells Park in Melbourne’s south east with the Victorian Cross Country Relay Championships. Athletes will start this challenging course heading up hill  before being set a path that transverses grassland and dense pine forest. Open and overage competitors will tackle two laps each while juniors will complete one lap. The course is great for spectators with several vantage points and is well equipped with parking and other facilities.

Entry Information: Entries close 11:59am Monday 16 April 2018.

Please Note: Athletes do not enter themselves into relay competitions. Clubs will enter and pay for team entries and select the athletes for their teams. Any questions regarding team selection should be made directly to your club.

Team Managers should will receive an e-mail regarding the entry process for XCR’18 Rd 1 Jells Park Cross Country Relays.

For an athlete to be eligible to score team points they must be registered before and approved before the 11:59am Wednesday 18 April 2018 cut off time, otherwise the athletes team will compete as invitational and not score points.

Registrations: The eligibility rules for XCR’18 Rd 1 are as follows:

All clubs must approve registrations by 11:59am Wednesday 18 April 2018 for athletes to be considered eligible to compete.

This means any registrations submitted online after 11:59am Wednesday 18 April 2018 will not be eligible for a scoring team.

Any teams containing athletes not eligible according to the criteria above will be listed as “Invitation” and not score points in the Premiership competition. Teams with unregistered athletes competing under the name of a registered athlete will be disqualified.

NO LATE OR ON DAY ENTRIES WILL BE AVAILABLE FOR THE XCR’18 RELAY SERIES.

If you have issues entering the event please contact Athletics Victoria PRIOR to the closing date at xcr@athsvic.org.au or the Competitions Department on 8646 4526 and leave a message explaining the issues you are experiencing. Athletics Victoria will not accept any late entries and emails received after the closing date.

Competition Rules

Events:

All events will start at the time listed above, please arrive early as the start will not be held for athletes who are running late.

A pen system will again be used for all divisions at relay events in 2018, please speak with the Athletics Victoria Official at your age group on the procedure required and ensure all athletes understand this.

There must only be 2 athletes from a team in each division/age group on the course at the one time (example runner 1 who is running and runner 2 who is waiting in the changeover area). This is for safety reasons for all athletes running through the changeover area.

For the safety of all athletes and spectators it is extremely important that everyone obeys all signs and announcements throughout the day.

The course roping is in place to keep athletes separated from spectators, officials and event crew, again it is important that all athletes and spectators respect the course and do not climb under or over any roping.

There will be sections of the course that are not roped off for people to access the course or surrounding grounds.

Course Configuration:

Two separate start times will be conducted on Saturday. The race start times are:

Race results:

In order to facilitate the prompt publication of the finalised results, team scores and ladders, all results queries must be submitted to Athletics Victoria’s via email (xcr@athsvic.org.au) within 72 hours of the first set of published results. All queries submitted after this time will not be included in the final event results.

Bibs:

All athletes MUST wear both current AV bibs at all rounds of XCR’18. If an athlete fails to wear both bibs (back and front) they may be disqualified. If any athletes forget their bibs please go to the admin area to get a replacement set prior to the start of the race. Team managers will need to pick up any new memberships from the admin staff on the day of the event.

A reminder that the transfer of bib numbers and/or timing chips to unregistered athletes is a serious breach of competition rules, with significant penalties resulting for all athletes and teams found to be involved. Such actions jeopardises Athletics Victoria’s personal accident insurance policy, and the cover extended to all registered athletes.

Relay Numbers:

Colour coded laminated numbers will be used to identify competitors in each Division or Age Group. In 2018 all open and senior men will wear BLUE numbers while all open and senior women will wear YELLOW.

In senior Divisions the number will indicate the Division and Team Number, i.e. blue number 4-5 will be team 5 in Men’s Division 4. Masters numbers will have their age group as the first number, i.e. ‘40’ for Over 40.

For junior athletes in 2018, all Under 14 athletes will wear PINK numbers, all Under 16 athletes will wear GREEN numbers, all Under 18 athletes will wear ORANGE numbers and all Under 20 athletes will wear WHITE numbers. Colour coded numbers identifying their age group will be used, i.e. ‘16’ for U16.

All relay identification numbers must be worn on the FRONT and BACK of each competitor’s uniform. A reminder that all athletes competing must wear their 2018/19 AV registered bib numbers during competition and this number must be visible to officials throughout competition.

Recording Sheets:

In order to get the results out as quickly as possible, we need the assistance of all clubs to fill in the recording sheets in a neat and accurate manner. THERE IS NO NEED TO RECORD LAP SPLITS ON THE RECORDING SHEETS. We simply require the start time of each athlete, their finish time and the net time. If athletes wish to record their lap times they, or their coaches will need to organise it themselves.

With over 900 athletes anticipated on Saturday and all times to be entered manually, AV really needs the assistance of clubs in delivering fast and accurate results. Please ensure the sheets are filled in clearly and neatly to minimize data entry errors. If sheets are not handed into the admin area your team will not have their results entered.

Portable toilets will be made available for anyone to use on the day.

Madeleines Café:

Athletes are permitted to use Madeleines Café toilet however cannot use this as a changing room after or before running.

With this low gradient course along the banks of the Yarra River, the Burnley Half Marathon has deservedly gained a reputation as one of the fastest half marathons in Australia. With that in mind, the race is the perfect opportunity to shoot for a personal best or tune up for the Melbourne Marathon.

Note: For athletes to be eligible to compete and score points for their team, they must be registered with Athletics Victoria and approved by their club with one of the following packages purchased no later than 12pm (Midday) Wednesday 6 September:

  • 2017 Max Package (Access to both XCR & Track & Field seasons)
  • XCR’17 Package (Access to XCR’17 only)

Venue Information

Club tents:

Clubs are encouraged to bring Club Tents to the Burnley Half Marathon and can be set up around the Administration area next to Kevin Bartlett Reserve. All tents must be weighted down. There is strictly no pegging at the Burnley Half Marathon.

Road Closures:

Road Closures will take place from early Sunday morning, please see below the roads and times of these closures.

Closures Locations and Times:

Yarra Boulevard –  6:00am-11:30am. There will be strictly no access to Yarra Boulevard between Bridge Rd to the Citylink off ramp from the Monash Freeway between these times.

F R Smith Dr –  6:00am-11:30am

Food Vendor: Cafe2U will be selling hot drinks and snacks throughout the competition.

Car parking and road closures:

Plenty of Car Parking is available around the Burnley Half Marathon administration area.  No cars are to be driven onto the course; all cars must park in allocated car parking areas. Please be aware that ticketed parking may be enforced. Athletics Victoria is not responsible for any fines that may be issued.

There is strictly no parking on Yarra Boulevard.

First Aid:

St Johns Ambulance will be on site throughout the day. They will be situated at the start/finish line and also out on the course. If anyone needs first aid please ask an official/club helper to radio through and first aid will be out to help.

Toilet facilities

There will be toilets located at the administration area. Please leave toilets in a respectable state.

Looking after Yarra Boulevard and Kevin Bartlett Reserve:

Competition Information

Events:

All events will start at the time listed above, please arrive early as the start will not be held for athletes who are running late.

If an athlete fails to make their event start time, please go to the AV Administration tent to seek advice on joining another race as an invitational athlete for no points. The competition director is the only person who can approve an athlete changing age groups or races on the day of the event.

Event warm-up is not to be conducted in front of the start line. Athletes are not allowed to front filter into this area, they MUST approach the start from behind the line. Any athletes caught front filtering may be asked to move to the back of the pack by officials.

Please Note: Athletes will be asked to remove themselves from the course if they have not gone past F R Smith Dr on their final lap by 10:05am.

Race Walking: The XCR’17 season is a Cross Country and Road Racing competition and not a race walking competition. Any athletes who are seen race walking will be asked to run the remainder of the race. Any athletes who continue to Race Walk will be removed from the course.

Non-finishing athletes:

Any athlete who cannot complete the course for any reason and pulls outs before crossing the finishing line MUST report to the competition director or an official at the finish line. This is to ensure all athletes are accounted for on the course before event pack up begins.

For AV Registered members that have not purchased a package or an individual event entry, they can also enter on the day for a cost of $50.00. They will be required to wear the bib number they are given on the day and will not count towards team points.

One of the most popular locations for elite sports clubs to complete their time trials, the XCR’17 season culminates at a new location, Princes Park. A very flat and fast course, athletes will complete one lap of the 3.2km course each in the hope of bringing the XCR’17 premiership back to their club. There is plenty of room for clubs to set up their tents and we would love to see all clubs embrace the new location for 2017.

Note: For athletes to be eligible to compete and score points for their team, they must be registered with Athletics Victoria and approved by their club with one of the following packages purchased no later than 12pm (Midday) Wednesday 13 September.

There is strictly no pegging of tents. All tents must be weighted, any clubs found to be pegging will be asked to replace them with weights or remove their tents.

Pegging of tents greatly jeopardises Athletics Victoria’s permit with the City of Melbourne and may result in not using the location for future events if broken.

Food Vendor: Mocha Monkey will be on site selling coffee, tea, cakes and snacks. Melbourne University will be operating a BBQ.

First Aid:

XCR’17 Round 8 – Anglesea Ekiden Relay

Ever wanted to compete in a marathon but felt you were not quite up to it? Ekiden is a Japanese term which generally refers to a long-distance relay running race, typically conducted on roads. An Ekiden Relay is commonly held over the marathon distance of 42.195km with teams of runners completing legs of varying distances. The popular Ekiden Relay returns to the XCR calendar in 2017 and will take place on Victoria’s iconic Surf Coast in Anglesea.

Legs are run in order listed in handbook, therefore furthest to shortest.

Venue Information

Plastics Policy:

The Surf Coast Shire has a Plastic Wise events and Markets policy, where events run on council land in the Surf Coast Shire are expected to refrain from the following; using single use plastic blags, selling or distributing plastic bottles, distribution of straws. They also ask to avoid all unnecessary plastic packaging and plastic single use cutlery.

Dogs:

This event is a non-dog friendly event, therefore we ask athletes to not bring dogs to the Anglesea Caravan Park.

Club tents:

Clubs are encouraged to bring club tents to Anglesea; these can be set up on the oval next to the start/finish line within the caravan park.

Team Managers of Clubs may drive into the caravan park to drop off club tents and gear but must remove their vehicle and park in surrounding areas. There will be a designated Team Manager drop off zone for club tents and equipment.

We request if Team managers can please drop their clubs gear off an hour before the event at 9:30am between 11:30am any time after 11:30am you will not be allowed access into the caravan park.

There will be traffic marshals to guide you through this zone. Please just drop off your gear and proceed immediately to the car parks outside the caravan park. The traffic marshal will take care of it until you return to set it up. There is strictly no car parking in the drop off zone and we ask you to please comply with the steward’s requests.

First Aid:

St Johns Ambulance will be on site throughout the day. They will be situated at the start/finish line and also out on the course. If anyone needs first aid please ask an official/club helper to radio through and first aid will be out to help.

Toilet facilities:

There are toilet blocks located within the grounds of Anglesea Beachfront Caravan Park.

Car Parking:

There is no car parking access within the Caravan Park. Car parking is only available in surrounding areas of the caravan park. Click here for a map of suggested parking areas around Anglesea

Please Note: Double Yellow Lines in street parking indicates a ‘No Standing Zone’ and you may be issued a parking infringement by the local council. Athletics Victoria is not responsible for any fines that may be issued.

Looking after Anglesea Caravan Park:

We are very grateful for the opportunity to compete at Anglesea. Clubs are asked to remind their members of the following:

  • Park only in designated parking bays
  • Take home all rubbish so that we leave the venue as we found it.
  • Do not litter any rubbish along the course. Please use bins provided
  • Make sure your athletes leave the toilet blocks in a respectable state.


Competition Information

Events:

All events will start at the time listed above, please arrive early as the start will not be held for athletes who are running late.

A pen system will be used for all divisions at relay events in 2017, please speak with the Athletics Victoria Official at your age group on the procedure required and ensure all athletes understand this.

There must only be 2 athletes from a team in each division/age group on the course at the one time (example runner 1 who is running and runner 2 who is waiting in the changeover area). This is for safety reasons for all athletes running through the changeover area. For the safety of all athletes and spectators it is extremely important that everyone obeys all signs and announcements throughout the day.

The course roping is in place to keep athletes separated from spectators, officials and event crew, again it is important that all athletes and spectators respect the course and do not climb under or over any roping.

There will be sections of the course that are not roped off for people to access the course or surrounding grounds.

Non-finishing athletes:

Any athlete who cannot complete the course for any reason and pulls outs before crossing the finishing line MUST report to the competition director or an official at the finish line. This is to ensure all athletes are accounted for on the course before event pack up begins.

NO LATE OR ON DAY ENTRIES WILL BE AVAILABLE FOR THE XCR’17 SERIES.

Race results:

In order to facilitate the prompt publication of the finalised results, team scores and ladders, all results queries must be submitted to Athletics Victoria’s via email (xcr@athsvic.org.au) within 72 hours of the first set of published results. All queries submitted after this time will not be included in the final event results.

Timing Bibs:

Athletes who have purchased an XCR’17 Package, Max Package or XCR Relay Package, since 26 July 2017, will have their 2017/18 AV bib numbers available for collection at Anglesea.

Athletes who registered prior to 26 July should check with their club representatives as they will have been collected at Jells Park Relays.

The timing tag will be attached to one of the bibs (this is to be worn on the front). Athletes do not need to wear their timing chip from previous seasons for individual races anymore.

Please Note: This is your bib number for the entire 2017/18 season, please do not throw out your numbers. If athletes lose or damage their bib numbers there will be a charge associated with reissuing new numbers.

All athletes MUST wear their current AV bibs, front and back, at all rounds of XCR’17. If an athlete fails to wear both bibs they may be disqualified. If any athletes forget their bibs please go to the administration area to purchase a replacement set no later than 30 minutes prior to the start of the race. Team managers will need to pick up any new memberships from the administration tent on the day of the event.

Relay Numbers:

Colour coded laminated numbers will be used to identify competitors in each Division or Age Group.  Unlike in previous relay events for the XCR’17 season, there will be different coloured laminated bibs for the different legs of the race.

Please take note of the colours that correspond to each leg, the distance is printed on each bib.

Blue = 9.8km

Yellow = 8.8km

Green = 7.9km

Orange = 6.0km

Pink = 5.2km

White = 4.6km

*Women’s Open and Overage teams will have a ‘W’ in front of their team number.

All relay identification numbers must be worn on the FRONT and BACK of each competitor’s uniform. A reminder that all athletes competing must wear their 2017 AV registered bib numbers during competition.

Recording Sheets:

In order to get the results out as quickly as possible, we need the assistance of all clubs to fill in the recording sheets in a neat and accurate manner. THERE IS NO NEED TO RECORD LAP SPLITS ON THE RECORDING SHEETS. We simply require the start time of each athlete, their finish time and the net time. If athletes wish to record their lap times they, or their coaches will need to organise it themselves.

With over 900 athletes anticipated on Saturday and all times to be entered manually, AV really needs the assistance of clubs in delivering fast and accurate results. Please ensure the sheets are filled in clearly and neatly to minimize data entry errors. If sheets are not handed into the admin area your team will not be entered into the results.

All officials, time keepers and course marshals must report to the Controller of Officials the commencement of their scheduled session start time.

Clubs failing to provide the required number of club helpers will have ALL of their teams disqualified.

The traditional stomping ground of XCR legend Steve Moneghetti, Lake Wendouree once again provides the backdrop for this fast-paced event, with Open completing 15km courses and Juniors 6km. After the race, stay on and enjoy the best the city and surrounding Goldfields have to offer, including the Eureka Centre, Sovereign Hill, the Gold Museum and the Botanical Gardens.

*Please note Juniors will be starting their race 15 minutes earlier at the revised 1:45pm time.

Note: For athletes to be eligible to compete and score points for their team, they must be registered with Athletics Victoria and approved by their club with one of the following packages purchased no later than 12pm (Midday) Wednesday 26 July:

  • 2017 Max Package (Access to both XCR & Track & Field seasons)
  • XCR’17 Package (Access to XCR’17 only)

Car parking and road closures:

Plenty of Car Parking is available near the start line and administration area at Lake Wendouree, as well as surrounding streets.  No cars are to be driven onto the course; all cars must park in allocated car parking area.

Food Vendor: Ballarat Region will be providing food and drinks throughout the day.

Club tents:

Clubs are encouraged to bring club tents to Lake Wendouree. The area for club tents is adjacent to the finish line, please look for signage. There is strictly no pegging allowed, all tents must be weighted down. Any tents that are pegged will be asked to be removed or replaced with weights.

First Aid:

Competition Information

Events:

All events will start at the time listed above, please arrive early as the start will not be held for athletes who are running late.

In the Open Men & Women’s races the Premier Division team athletes (6 men & 5 women) from the 10 clubs in each gender will be eligible for a priority start in their respective races. Athletes are asked to make their way to the front of the pack before the race. Please speak to the officials on the day if athletes are unsure about this process.

If an athlete fails to make their event start time, please go to the AV Administration tent to seek advice on joining another race as an invitational athlete for no points. The competition director is the only person who can approve an athlete changing age groups or races on the day of the event.

Early Starter Athletes who have failed to begin their final lap by 3:15pm will be asked to remove themselves from the course.

Event warm-up is not to be conducted in front of the start line. Athletes are not allowed to front filter into this area, they MUST approach the start from behind the line. Any athletes caught front filtering may be asked to move to the back of the pack by officials.

Course Configuration:

Three separate races will be conducted on Saturday. The respective start times are:

On the Day Entries: On the day entries will be accepted at Lake Wendouree for non-members at a price of $50.00. Athletes will be required to sign up and purchase their entry and bib numbers from the administration tent. For AV Registered members that have not purchased a package or an individual event entry, they can also enter on the day for a cost of $50.00. They will be required to wear the bib number they are given on the day and will not count towards team points.
