2019 Victorian Track Relay Championships

General Information

The Victorian Track Relay Championships will be held at Hagenauer Reserve in 2019.

The Victorian Track Relay Championships is a club based competition that offers relays from 4×100 to 4x1500m.

The Victorian Track Relay Championships are a fantastic opportunity for clubs to recruit club members by competing in a team based competition.

Date: Saturday 23rd November 2019

Location: Hagenauer Reserve, Barwon Street, Box Hill North 3129

Entries Close: 11:59am (Midday) Monday 18th November 2019 – No late or on the day entries will be accepted.

Athletics Victoria will not accept any late entries and emails received after the closing date will not be accepted.

NOTE: Please be aware that following the closure of entries, AV will publish a provisional timetable with allocated provisional times.

Refunds

Entry fees will only be refunded if a cancellation is received in writing to competitions@athsvic.org.au  prior to entries closing. Any refunds after this time will be processed only if the written notification is accompanied with a medical certificate before the first day of competition.

Age Groups

Age groups are taken from the 31st of December 2019

Age Group Year of Birth Age Group Year of Birth

 Please note: Overage athlete’s age group will be taken from the day of competition 23 November, 2019.

Eligibility of Teams

All athletes must be registered and approved AV members by 11:59am Wednesday 20th November, 2019 to be eligible to compete in this relays event.

Athletes can only compete in their gender specific teams. There is a mixed open 4x400m event, but no other events will mixed gender races or teams be allowed.

Competing athletes must represent their primary club. Where athletes have selected a secondary club (by purchasing an alternate first claim with membership) the athlete must represent their summer club. Athletes qualifying under this rule must wear the official registered uniform of their first claim summer club.

Athletes wishing to compete in different age groups must follow the below rules:

  • No athlete can compete in a lower age group than they are eligible for e.g. (U16 cannot run in an U14 event).
  • A junior athlete U14 – U18 may compete in their age group as well as the open age group e.g. (U16 can compete in the U16 4×100 and the Open 4×100).
  • A junior athlete U14 – U18 cannot compete in the same event in two junior age groups e.g. (U14 cannot compete in U14 4×100 and the U16 4×100).
  • A junior athlete can compete in two different junior age groups in two different events e.g. (U14 4×100 and an U16 4×400).

Masters Age Group Rules:

  • Age is taken from first day of competition – 23 November 2019.
  • Can only compete once in a particular type of relay eg 4x100m.
  • To form a team an athlete can move down to a younger age group but not up.
  • The age bracket of the team is determined by the youngest member of the team.
  • An athlete can compete in a different age bracket in a different type of relay.
  • All teams must wear their Club uniform and be a registered financial member of AV on the day of competition.
  • To set Masters Records all members of a team must be a VMA member.

Uniform & Bibs

All athletes competing at the 2019 Victorian Relay Championships must wear their current club uniform and current 2019/20 Athletics Victoria bib numbers. If you forget your bib please go to the administration area to receive a new one. All athletes must compete in AV bibs, if an athlete has registered as an AV Member but has not been assigned a Bib, when visiting the Administration Area AV staff will assign you a temporary Bib Number for the day.

Check in team forms

All 4x1500m team check in forms must be submitted by MIDDAY FRIDAY 22nd NOVEMBER. Any 4x1500m team not received prior to this time will be scratched from the event.

Teams may bring all other Relay Check-In Forms on the day. These must be handed into administration no later than 75 minutes prior to the first round of their event. Any team that does not check in by this time will be scratched from the event.

Substitution & Running Order forms

The composition of a team and the order of running for a relay shall be officially declared no later than one hour before the marshal time for each round of the competition (75 minutes prior to event start time).

If there is a substitution of athletes from your Relay Check-In Form, you must complete a Substitution Form.

If you are only changing the running order, this must be submitted on a Running Order Change Form.

Further alterations must be verified by a medical officer or first aid and may be made only until the marshal time for the particular heat in which the team is competing. The team shall compete as named and in the declared order. If a team does not follow this Rule, it shall be disqualified.

Call Room

A Call Room will be in place for the 4x100m relays (Heats and Finals). This will be located on the infield. All athletes must marshal at this point no later than 15mins prior to their event.

For all other relay events athletes must marshal at their changeover points no later than 15mins prior to their event.

Straight Finals

In the situation where enough scratching’s can cause events to no longer require heats, the final will be held at the final time. These announcements will be made following the closure of the check-in period to allow Team Managers time to substitute athletes if need be prior to the final.

Limited Car parking is available off Barwon Street.

  • Park only in designated parking bays
  • Take home all rubbish so that we leave the venue as we found it.
  • Do not litter any rubbish. Please use bins provided.

XCR’19 Round 8 – Cruden Farm – EVENT CANCELLED

Event Information

Cruden Farm will host the 12km heritage round. The grounds of Cruden Farm offer athletes a tough and testing course with a mixture of different terrains to accompany the beautiful grounds surrounding the farm. Cruden Farm is a historic and inspirational venue and has been a great addition to the XCR calendar. The 2019 event is a great opportunity for Clubs to showcase their heritage and history and we encourage Clubs to do so again this year.

What: XCR’19 Rd 8 – Cruden Farm

Location: Cruden Farm, Langwarrin VIC 3190 (Melway Ref: 103 G6) Located off Cranhaven Rd (Google Maps)

Car parking and road closures:  Plenty of Car Parking is available within the park precinct simply enter via Cranhaven Rd please look for signage.  No cars are to be driven onto the course; all cars must park in the allocated car parking area. Please don’t erect club tents in the Car Park as there is plenty of room for these in the finish area.

NO DOGS ALLOWED at Cruden Farm, any athletes or spectators who bring a dog to the event will be asked to leave by farm management.

Food Vendor: Mocha Monkey will be on site selling coffee, tea, cakes and snacks.

Club tents: Clubs are encouraged to bring club tents to Cruden Farm. The area for club tents is adjacent to the finish line, please look for signage.

First Aid: St Johns Ambulance will be on site throughout the day. They will be situated at the start/finish line and also out on the course. If anyone needs first aid please ask an official/club helper to radio through and first aid will be out to help.

Entry Information: Athletes must register via the Athletics Victoria website.

For an athlete to be eligible to score team points they must be registered with Athletics Victoria and approved by their club with one of the following packages purchased no later than 11:59am Wednesday 7 August:

Competition Rules

Events: All events will start at the time listed above, please arrive early as the start will not be held for athletes who are running late.

In the Open Men & Women’s races the Premier Division team athletes (6 men & 5 women) from the 10 clubs in each gender will be eligible for a priority start in their respective races. Athletes are asked to make their way to the front of the pack before the race. Please speak to the officials on the day if athletes are unsure about this process.

If an athlete fails to make their event start time, please go to the AV Administration tent to seek advice on joining another race as an invitational athlete for no points. The competition director is the only person who can approve an athlete changing races on the day of the event.

Event warm-up is not to be conducted in front of the start line. Athletes are not allowed to front filter into this area, they MUST approach the start from behind the line. Any athletes caught front filtering may be asked to move to the back of the pack by officials.

Athletes are not to warm up on any part of the course. There is a trail at the Frankston-Cranbourne Rd end of the farm for athletes to warm up.

Course Configuration: Six separate races will be conducted on Saturday. The respective start times are:

Race results: In order to facilitate the prompt publication of the finalised results, team scores and ladders, all results queries must be submitted to Athletics Victoria’s via email (xcr@athsvic.org.au) within 72 hours of the first set of published results. All queries submitted after this time will not be included in the final event results.

Timing Bibs: Athletes who have purchased an XCR’19 Package, Max Package or individual event entry, will have their 2019/20 AV bib numbers available for collection at Cruden Farm.

The timing tag will be attached to one of the bibs (this is to be worn on the front). Athletes do not need to wear their timing chip from previous seasons for individual races. This is your bib number for the entire XCR’19 season, please do not throw out your number with the timing tag attached to it. If athletes lose or damage their bib numbers there will be a charge associated with reissuing new numbers. All athletes MUST wear their current AV bibs, front and back (timing bib on the front and cloth number on the back), at all individual rounds of XCR’19. If an athlete fails to wear both bibs they may be disqualified. If any athletes forget their bibs please go to the administration area to purchase a replacement set no later than 30 minutes prior to the start of the race. Team managers will need to pick up any new memberships from the administration tent on the day of the event.

Please Note: There are two sets of timing mats located at the finish line, the first set of mats athletes will cross are a used for a back up for the timing team, this is not the finish line. The Finish line is located at the second set of timing mats 15-20m further on where the AV arch or bow flags will be set up. Athletes final finish time will be taken from the second set of mats.

Club Duties:

Please contact Andrea Hallett (andrea@athsvic.org.au) if you have any questions regarding club helper duties. All officials, time keepers and course marshals must report to the Controller of Officials at the commencement of their scheduled session start time.

Clubs failing to provide the required number of club helpers will have ALL of their teams disqualified.

2019 Victorian All Schools Track & Field Championships (Weekend 1)

General Information

The 2019 Victorian All Schools Track & Field Championships will see two weekends of Track and Field events for Secondary School students.  It is the perfect way for students to take part in interschool sport and compete against the very best.

Participating athletes have the opportunity to qualify for the 2019 Australian All Schools Track & Field Championships.

Weekend 1: Saturday 26th – Sunday 27th October 2019

Entries Close: Monday 14th October 11:59am (Midday)

Location: Tom Kelly Athletics Track, 125A George Street, Doncaster East

Athlete Cost: $20 per event

Please Note: Due to the size of this event, and the resurfacing works at Lakeside, the Victorian All Schools Track & Field Championships have been split over two weekends.

How To Enter

Entries close strictly at 11:59am, Monday 14th October 2019 – to avoid disappointment, enter before this deadline.  Late or on the day entries will not be accepted.

Log onto your portal using your username and password.

If you have forgotten your username and password, or if you would like to register to compete at the 2019 Victorian All Schools Track & Field Championships (Weekend 1), please call Athletics Victoria and request the Membership Team on 03 8646 4500. 

Step 3

Once you’ve logged into your portal, proceed to the Events tab and click into it.  Locate the event called 2019 Victorian All Schools Track & Field Championships (Weekend 1), then click the Register button.  When the drop-down menu appears click on Register as Individual.

Step 4

This will direct you to a new page which shows all the events you can enter.  You will need to select your age group form the drop down menu under Age Division and then click register next to each of the events you wish to enter. You will notice a pop up saying that your order has been successfully added to your cart. Your cart is in the top left of your portal.

Once you have entered all your events, click on your cart and it will show you all the orders you have created.  Once satisfied with your entries, proceed to the check out and follow the payment options. This will then take you through to the payment screen.

Please note: From October 1, 2019, the Under 17 and Under 18 Men’s Steeplechase will be conducted over the new 84cm barrier height as stipulated by IAAF specifications.

Athlete Check In

Athletes must check-in at least 60 minutes prior to their event in the Athlete TIC area. Athletes who do not check-in will be scratched from that event. Pole Vault athletes must check-in 90 minutes prior to the first scheduled round.

Note: if you are running late for Athlete Check-In for any reason and wish to contact a member of the Athletics Victoria staff on the day please contact 0447 202 160.

Insufficient athlete check-in will result in:

  1. Where Heats, Semis and Finals have been scheduled in the timetable – if insufficient athletes report to the TIC by the required time for Heats requiring progression to Semi-Final, then the Semi-Finals shall be cancelled with the heats run at the HEAT TIME.
  2. Where Heats, Semis and Finals or Heat and Finals only have been scheduled in the timetable – if insufficient athletes report to the TIC for the need to conduct Heats or Semi-Finals, then only the athletes who reported and signed in will progress to the Final. The Final will be held at the HEAT TIME.

Call Room

All athletes must report to the Call Room prior to any event in which they compete (Heats, Semi-Finals and Finals) at the times specified below.  Athletes must be dressed in their competition uniform and ready to compete.

Any athlete who does not report to Call Room will be disqualified. In the case of a clash of events, please fill out a Clash of Events form which can be found in the Call Room.

Athletes will be marshalled and their competition uniforms, bib number(s), hip numbers (if applicable), shoes and other equipment will be checked to ensure they comply with competition rules.  Athletes are not allowed to leave the Call Room once they have checked in; until a Marshal accompanies athletes to the start line. Any athlete who does not proceed to the start of the event with the Marshal will not be allowed to compete.

Multi-Class Events

Para athletes will compete together in the same event, these athletes have been separated into the U16, U18 & U20 age groups.  Medals will be presented in those genders and age groups throughout the weekend.

Note: Australian All Schools Championships only have events for the U16 & U18 age groups for Para athletes. Only U16 & U18 age group participants will be eligible for the Victorian Team.

Field Attempts

U14 – U20 Age Groups: Three (3) attempts, with the top eight (8) to then get one (1) more attempt.

Note: in the event of a tie in the High Jump and Pole Vault events, a jump off will be used to determine placing’s if athletes are still tied after a count back.

Nationals Selection

VICTORIAN TEAM SELECTION INFORMATION

AUSTRALIAN ALL SCHOOLS TRACK & FIELD CHAMPIONSHIPS 2019

Perth, Western Australia

Friday 6th to Sunday 8th December, 2019 (Team will travel Thursday 5th December)

The Victorian team will be selected based upon results from the Victorian All Schools Championships. As such, participants who do not compete at these championships will be ineligible for selection to the Victorian team.

  • Athletes placing first and second in U14*, U15, 16, U17 & U18 Age group will be automatically selected
  • Two Para-athletes will be selected per event in the U16 & U18 age groups. The best performed athletes as per the Athletics Australia MDS Tables will be selected. These athletes must appear on the AA Classification master list.

*U14 athletes MUST be born in 2006 or 2007 to be selected.  The 3000m, 2000m steeplechase and 200m hurdles are NOT offered at the Australian All Schools Championships for the U14 age group.

This trip includes compulsory team travel.  Further information regarding flights, accommodation and costing will be released shortly.

XCR’19 Round 7 – Lake Wendouree

Event Information

All race result queries must be made within 72 hours of the results first being published. All queries must be sent to xcr@athsvic.org.au. Any queries sent in after this time will not be accepted.

The traditional stomping ground of XCR legend Steve Moneghetti, Lake Wendouree once again provides the backdrop for this fast-paced event, with open athletes completing 15km and juniors & open recreational runners completing 6km. After the race, stay on and enjoy the best the city and surrounding Goldfields have to offer, including the Eureka Centre, Sovereign Hill, the Gold Museum and the Botanical Gardens.

What: XCR’19 Rd 7 – Road Race

Location: Lake Wendouree, Ballarat (Melway Ref B165)  (Google Maps)

Car parking and road closures: Plenty of Car Parking is available within and around Lake Wendouree and Windmill Dr.  No cars are to be driven onto the course; all cars must park in the allocated car parking area. Please don’t erect club tents in the Car Park as there is plenty of room for these in the finish area.

Club tents: Clubs are encouraged to bring club tents to Lake Wendouree. The area for club tents is adjacent to the finish line, please look for signage. All tents must be weighted down. There is strictly no pegging at Lake Wendouree.

First Aid: St Johns Ambulance will be on site throughout the day. They will be situated at the start/finish line and also out on the course. If anyone needs first aid please ask an official/club helper to radio through and first aid will be out to help.

Entry Information: Athletes must register via the Athletics Victoria website.

All officials, time keepers and course marshals must report to the Controller of Officials no later than 12:00pm.

Clubs failing to provide the required number of club helpers will have ALL of their teams disqualified.

Toilet facilities

A number of toilet blocks are located close to the finish area. It is the responsibility of clubs and athletes to ensure all toilet facilities are left in a respectable state.

Looking after Lake Wendouree

We are very grateful for the opportunity to compete at Lake Wendouree Clubs are asked to remind their members of the following:

  • Park only in designated parking bays
  • Respect the park and the permits – no pegging allowed.
  • Take home all rubbish so that we leave the venue as we found it
  • Do not litter any rubbish along the course. Please use bins provided
  • Make sure your athletes leave the toilet blocks in a respectable state

2019 AGM information

The 2019 Annual General Meeting of Athletics Victoria will be held on Wednesday 21st July 2019 in the Cathy Freeman Room commencing at 7.00pm.

The Agenda for the 2019 AGM has been distributed to all affiliated Clubs and Life Members by email. The AGM will be streamed on athsvictv from 6.50pm. Nominated Club delegates and Life members only are welcome to attend.

In 2019 there were five (5) positions available for nomination on the Athletics Victoria Committee and five nominations were received. Under clause 26.2(d) of the AV Model Rules the following nominations are duly elected

At the conclusion of the 2019 Annual General Meeting on Wednesday 31 July 2019, the Athletics Victoria Committee will have an equal representation of women and men which meets the mandatory quota of at least 40% women.

XCR’19 – Lakeside:10

Event Information

A fast and flat 10km road race, starting and finishing at the Lakeside Stadium precinct which includes two laps out and back from Lakeside Stadium to Junction Oval on Lakeside Drive. The Albert Park 10km Road Race is the perfect opportunity for athletes to run a fast time or to just enjoy the surrounds of the lake. The Under 20 Women will again run with the men and compete across 10km.

On the Day Entries: INVITATIONAL ENTRIES ON THE DAY ($55) WILL BE AVAILABLE UP UNTIL 30 MINUTES PRIOR TO EVENT START TIME

Club tents:

Due to the grandstand, there is no room for Club Tents to be set up, however clubs are encouraged to bring their club flags and banners to put up in the grandstand.

Road Closures:

Road Closures will take place from early Sunday morning, please see below the roads and times of these closures.

Closures:

Albert Road Dr – 6:00am – 11:00am.

Lakeside Dr – 7:00am – 11:00am.

First Aid: St Johns Ambulance will be on site throughout the day. They will be situated at the start/finish line and also out on the course. If anyone needs first aid please ask an official/club helper to radio through and first aid will be out to help.

Entry Information: Athletes must register via the Athletics Victoria website.

For an athlete to be eligible to score team points they must be registered with Athletics Victoria and approved by their club with one of the following packages purchased no later than 11:59am Wednesday 10 July:

  • 2019 Max Package
  • XCR’19 Package
  • Individual Event Entry

Please remember to approve any memberships before the 11:59am Wednesday 10 July cut off time, otherwise athletes will compete via invitation.

If you have issues entering the event please contact Athletics Victoria PRIOR to the closing date at xcr@athsvic.org.au or the Competitions Department on 8646 4526 and leave a message explaining the issues you are experiencing. Athletics Victoria will not accept any late entries and emails received after the closing date.

Competition Rules

Events:

All events will start at the time listed above, please arrive early as the start will not be held for athletes who are running late.

In the Open Men & Women’s races the Premier Division team athletes (6 men & 5 women) from the 10 clubs in each gender will be eligible for a priority start in their respective races. Athletes are asked to make their way to the front of the pack before the race. Please speak to the officials on the day if athletes are unsure about this process.

If an athlete fails to make their event start time, please go to the AV Administration tent to seek advice on joining another race as an invitational athlete for no points. The competition director is the only person who can approve an athlete changing races on the day of the event.

Event warm-up is not to be conducted in front of the start line. Athletes are not allowed to front filter into this area, they MUST approach the start from behind the line. Any athletes caught front filtering may be asked to move to the back of the pack by officials.

Please Note: Athletes will be asked to remove themselves from the course if they are still running when roads are re-opened at 11:00am.

Non-finishing athletes:

Any athlete who cannot complete the course for any reason and pulls outs before crossing the finishing line MUST report to the competition director or an official at the finish line. This is to ensure all athletes are accounted for on the course before event pack up begins.

Three separate start times will be conducted on Sunday. The respective course configurations are:

Race results:

In order to facilitate the prompt publication of the finalised results, team scores and ladders, all results queries must be submitted to Athletics Victoria’s via email (xcr@athsvic.org.au) within 72 hours of the first set of published results. All queries submitted after this time will not be included in the final event results.

Timing Bibs:

Athletes who have purchased an XCR’19 Package, Max Package or individual event entry, will have their 2019/20 AV bib numbers available for collection at Albert Park.

The timing tag will be attached to one of the bibs (this is to be worn on the front). Athletes do not need to wear their timing chip from previous seasons for individual races anymore.

Please Note: This is your bib number for the entire 2019/20 season, please do not throw out your numbers. If athletes lose or damage their bib numbers there will be a charge associated with reissuing new numbers.

All athletes MUST wear their current AV bibs, front (timing tag bib) and back (cloth bib), at all individual rounds of XCR’19. If an athlete fails to wear both bibs they may be disqualified. If any athletes forget their bibs please go to the administration area to purchase a replacement set no later than 30 minutes prior to the start of the race. Team managers will need to pick up any new memberships from the administration tent on the day of the event.

*NB: Athletes that require temporary or replacement bibs can purchase them up to 30 minutes prior to their scheduled event start time.

Food Vendor:

Lakeside Canteen and coffee will be open through the duration of competition.

Car parking and road closures:

Plenty of car parking is available around the Albert Park precinct.  No cars are to be driven onto the course; all cars must park in allocated car parking areas. Please be aware that ticketed parking may be in force. Athletics Victoria is not responsible for any fines that may be issued.

First Aid:
